Ledgers, inventory counts and GST reconciliations compiled during the year prevent a scramble when Form 3CD disclosures are due.
Form 3CD asks for facts that do not exist in a year-end trial balance: related-party terms, loan acceptances, GST versus books, inventory method, and payments that needed tax deduction. If those files are built in September, the answers are reconstructed from memory and email. If they are built as the year runs, the audit is a review.
After books are closed and GST for March is filed, but the working papers listed here should already exist. Fieldwork then tests them instead of creating them.

Count now and document method and cut-off. Tell the auditor what you have. A late count is better than an invented quantity.

Prices that look like an afterthought are the items an officer later tests. Collecting them in March from a sister concern that has already closed its books is the scramble this note is meant to avoid.
Clause-level GST reporting in 3CD is a recon, not a copy-paste from GSTR-3B. Sales registers, e-invoice data and the financial statements should already agree each month. Differences that are explained in a monthly note do not need to be reverse-engineered at audit time.
Turnover: Books, GSTR-1 and GSTR-3B, with a note for unbilled revenue and credit notes that straddle periods.
ITC: 2B match and ineligible credit already parked in expense, not left in a suspense code.
RCM: A list of reverse-charge payments with challans, so the 3CD clause is a roll-up.
Where the form asks for quantitative details, a year-end stock sheet without opening stock, purchases and production is not enough. Manufacturers and traders who count at least at half-year, and who keep a valuation note (cost, NRV, slow-moving), give the auditor something to sign. A spreadsheet built in the week of the due date does not.
Disallowance for tax not deducted is easier to prevent than to argue. A monthly scan of expense ledgers for rent, contractors, professional fees and commission, checked against 26Q, catches the invoice that was booked without a deduction. Waiting for the tax-audit checklist is how that invoice becomes a 40(a)(ia) item.
A shared folder with monthly GST recon, related-party invoices, loan confirmations, stock counts and TDS workings is enough. We do not need a polished board pack during the year. We need the source papers dated when the transaction happened.
